Key Highlights
- CRM structure should reflect different sales motions. New business, renewals, certificates, and public tenders follow different stages and requirements.
- Automation should follow a defined sales process. Clear ownership, stages, and next steps give workflows something useful to automate.
- Sales and Marketing alignment depends on shared definitions. Common lead scoring and qualification stages make handoffs easier to manage.
- CRM reporting should be built around management decisions. Activity, ownership, and deal progression need to be visible in a usable leadership view.
- Connected systems should remove unnecessary dependencies. Marketing can manage landing pages and lead capture without relying on
- Development for every campaign. AI is most useful when the implementation task is clearly defined. WSI used it for data modeling, system planning, automation logic, and database cleanup.
Enterprise and government sales can involve technical reviews, compliance requirements, and several decision-makers before an opportunity moves forward. Seguridata was managing those long sales cycles across separate spreadsheets, so leadership didn't have one reliable view of the commercial pipeline.
As the sales operation became more complex, that setup made it harder to manage opportunities consistently, connect Marketing activity with sales opportunities, and give teams a shared view of commercial data.
Working with WSI Consultant Carlos Guzman and his team, Seguridata moved Sales and Marketing into HubSpot and built a Revenue Operations system around how the company actually sells. The new setup gave both teams a shared process while giving leadership clearer visibility across the sales operation.
The Growth Challenge: Managing Complex B2B Sales Without a Shared CRM
Seguridata is a Mexico City-based technology company founded in 1996. It has completed more than 2,000 enterprise and government projects involving digital identity, electronic signature, certified digitalization, and secure transaction infrastructure, with clients across finance, public administration, healthcare, and other regulated sectors.
Those organizations often buy through long, consultative sales cycles involving technical requirements, compliance reviews, and several stakeholders. As Seguridata's commercial operation grew, managing those opportunities consistently became harder through separate spreadsheets.
Before working with WSI, Seguridata didn't have a centralized CRM. Sales representatives managed opportunities in their own spreadsheets, and deals weren't consistently tracked through shared stages. Leadership had to assemble information from multiple files to understand commercial activity and didn't have a shared, reliable basis for forecasting.
Marketing had a related problem. Campaign activity and sales opportunity data sat apart, giving the team limited visibility into what happened after a lead moved toward Sales. Even creating a landing page required help from Development, adding another dependency when Marketing wanted to launch or respond to a campaign opportunity.
Seguridata needed a commercial system that could give Sales a consistent way to manage opportunities, connect Marketing activity with the lead process, and give leadership reliable information about sales activity across the business.
How WSI Built a Revenue Operations System Around Seguridata's Sales Process
WSI configured HubSpot Marketing Hub Professional and Sales Hub Professional around Seguridata's existing commercial process. That meant accounting for the different ways new business, renewals, certificates, and public tenders move through Sales.
Why Seguridata Needed Four Separate Sales Pipelines
The pipelines cover new business, renewals, certificates, and public tenders. Each has its own stages, requirements, and follow-up needs.
A renewal doesn't necessarily move through the same stages as a public tender or a new enterprise deal. Separating those sales motions lets representatives follow the appropriate stages and requirements while leadership still reviews the wider sales operation through one system.
Automation Put the Sales Process Into Practice
Automation came after Seguridata had defined how leads and opportunities should move through the commercial process. The CRM then needed to make those rules easier to apply day to day.
Fifty-five automated workflows now support lead management, opportunity updates, follow-up, and coordination between Sales and Marketing. Sales playbooks and standardized sequences give representatives a defined process as opportunities progress.
Those rules are now built into the system the team uses every day instead of being maintained separately by individual representatives.
Marketing and Sales Now Work From the Same System
Marketing and Sales now work with shared lead scoring and agreed qualification stages. A dedicated lead pipeline shows where leads are in the qualification process, while executive dashboards give leadership a consolidated view of sales activity and team performance.
Both teams can see where a lead stands and when it moves toward Sales, giving Marketing greater visibility into how its leads progress once Sales becomes involved.
Marketing can also build landing pages and capture leads without waiting for Development to create each asset. Campaign execution now sits closer to the team responsible for running the campaign.
AI Helped With Data and System Design
AI supported specific parts of the implementation, including CRM architecture planning, data modeling, automation logic, and database cleanup. It helped organize and check information while pipeline design, workflow rules, and reporting remained grounded in Seguridata's commercial process.
The Results: Better Visibility and More Consistent Sales Management
Seguridata moved from fragmented sales tracking to a shared system for managing leads and opportunities across the commercial team. Sales, Marketing, and leadership now work from the same underlying commercial data.
- All sales representatives work in the same CRM instead of managing opportunities through separate individual spreadsheets.
- Reported CRM data includes the total number of deals, broken into active and closed.
- Executive dashboards give leadership one place to review pipeline activity and sales performance instead of assembling information manually from different files.
- Marketing and Sales now share lead scoring and qualification stages, giving both teams greater visibility into how leads progress toward sales opportunities.
- Marketing can build landing pages and capture leads without depending on Development for every campaign, removing an operational dependency that previously slowed execution.
Seguridata now has a more complete view of its commercial operation. Sales has a more consistent process, Marketing can see more of what happens after lead generation, and leadership has better information for reviewing activity across the business.
Why WSI Started With the Sales Process
HubSpot configuration followed the way Seguridata's commercial team needed to work. WSI translated Seguridata's agreed sales processes into the CRM, including how opportunities are qualified, managed, followed up, and reported. The platform configuration followed those business decisions rather than defining them.
The relationship continues after implementation, so the system can evolve as Seguridata's sales processes, reporting requirements, and business priorities change.
Seguridata described WSI's role in the engagement this way:
“WSI has helped Seguridata from the early stages of evaluation and consultation through the implementation and ongoing operation of our HubSpot platform. Throughout this work, the WSI team has provided strategic guidance in configuring our system, defining automation workflows, and structuring the operational processes for both Sales and Marketing. Their support has been fundamental in helping us move from fragmented processes to a structured system that today allows us to manage our commercial pipeline with greater visibility, coordination, and control.”

Lessons for B2B Companies Managing Complex Sales Cycles
Different Deal Types May Need Different Pipelines
New business, renewals, certificates, and public tenders don't necessarily move through the same commercial process. Before configuring a CRM, map how each type of opportunity is qualified, owned, advanced, and reported. The system should reflect meaningful differences in the sales process rather than force every deal through the same sequence.
Automation Needs Clear Ownership and Next Steps
Automation works best when ownership, stages, follow-up, and next actions are already clear. Otherwise, technology can reinforce an inconsistent process instead of fixing it.
Design CRM Reporting Around the Decisions Leaders Need to Make
Which opportunities are active? Where are deals getting held up? How are leads progressing from Marketing into Sales? Those questions should determine what the CRM tracks and what leadership sees in its reporting.
Seguridata's Revenue Operations Project Earned People's Choice Recognition
Seguridata's Revenue Operations work was named a runner-up in WSI's 2026 People's Choice Awards. The project brought together Sales and Marketing processes, automation, CRM data, and management reporting in one Revenue Operations program.

Your Growth Partner Should Understand the Business First
When Sales and Marketing are working across disconnected systems, start with how leads, opportunities, handoffs, and reporting need to work across the business. Technology decisions should follow that understanding.
Seguridata's experience shows the value of connecting business process, CRM, automation, and reporting rather than treating each one separately. WSI stayed involved from implementation into ongoing support as those systems became part of the company's day-to-day operations.
A growth partner should be able to see how those pieces affect one another. A WSI Consultant can help identify where your sales and marketing operations are falling out of sync and what to address first.
